01 What was going on

Construmart rents out equipment, maintains it and bills for it. Each of these steps needs its own control, and the hard part is the link between them: the equipment that goes out, comes back, needs repair and goes into the month's invoice.

SIC (Construmart Internal System) brings that whole cycle into a single system, in production, with the team working in it every day.

02 What had to change

A rental goes through several stages, from quote to invoice, and each change of stage has its own rule.

Delivering and receiving equipment requires an inspection, with a checklist, condition and photos, before it can go out.

Billing has to match what was actually rented, and whoever checks it needs to see the expected and the actual side by side.

Contracts, statements, inspection reports and other reports have to come out as documents, in the company's standard.

03 What we delivered

Rentals with kanban and quotes, contracts issued from templates, delivery and return checklist, service orders, stock and position by category, invoices with a statement before issuing, pDF reports and accounting TXT, permissions per user, global search.

04 How it was made

Rentals

A rental moves from quote to invoiced on a kanban board, where the team drags the card between stages. Each rental's screen brings together customer, equipment, costs and contract, and the footer shows the available credit and the total with its breakdown. The contract comes from a template with variables filled in by the system.

Delivery and return

The checklist releases or blocks the equipment's departure: approved or rejected items, overall condition, photos and an inspection report for printing. The service order covers both the company's own tools and the customer's, with parts linked to stock and a technician in charge.

Billing and reports

The invoice is put together in three steps (items, amounts and installments). The billing report reads from the same data the invoice relies on, so it never diverges from it, and shows the expected and the actual side by side, so the day count can be checked at a glance.

Documents and interface

Every document comes out as a PDF in the same standard, with a band at the top, logo, paired identification fields and a footer showing who issued it. The interface follows its own design system, works well on a phone, where tables turn into cards, and has global search from the keyboard.

07 What changed afterwards

Construmart now has rental, maintenance, stock and billing in the same system, with documents coming out ready. SIC remains in production.
